2. Information we collect and use
- Chat accounts. We collect your email address, display name, account ID, sign-in and activity timestamps, verification records and session information to verify your email, keep you signed in and remember your profile. We do not ask you to create a password.
- Public chat. We store your messages, display name, account ID and message timestamps to run the conversation. We also keep moderation records and account restrictions to prevent abuse. Your display name and messages are public; your account email is not displayed in chat. Anyone can read, copy or screenshot public messages, so do not post information you want to keep private.
- Newsletter. If you subscribe, we store your email, subscription status, signup date, signup source and a record of your consent. New-account registration includes an optional newsletter checkbox, selected by default. Uncheck it before submitting the registration form to skip newsletter emails. A new subscription is saved only after your email is verified and the account is created with that option selected. Expect about one email a week, with show news and episode updates. No spam. Signing in to an existing account does not change its newsletter preference, and registration does not reactivate an unsubscribed address.
- Support payments. We use Stripe-hosted checkout for support payments. Development previews labeled “test mode” do not charge real money. Stripe collects payment details directly. We may receive your name, email, payment amount and currency, date, status, transaction reference and limited payment-method information, such as card brand and last four digits. We use these records for receipts, accounting, fraud prevention, refunds and payment disputes. After we confirm a successful payment, we send a transaction receipt to your verified account email through Cloudflare Email Service. We will not receive or store full card numbers or security codes. Making a contribution will not subscribe you to the newsletter. You may provide an optional name for on-air thanks and a note to the hosts. We store these with your contribution so the hosts can thank you and read your message. Your verified chat account also provides access to your private contribution history. Chat restrictions do not erase that history. You can save a preference for a future public supporter badge; it defaults to off, and badges and tiers are not active yet. Your email and amounts are not displayed publicly.
- Technical and usage information. Requests to the site and media services involve information such as your IP address, browser or app information, requested URL, timestamps, approximate country and delivery or error information. We and Cloudflare use this to deliver content, secure the service, troubleshoot problems and understand basic usage.
- Messages to us. If you contact us, we use the information you provide to answer your question, verify and handle a request, or resolve an issue.
We use personal information to provide the services you request, maintain security, improve reliability and meet legal obligations. Where a legal basis is required, we rely on providing our services, your consent for newsletter emails, our legitimate interests in security and basic service measurement, or applicable legal obligations, as appropriate.
3. Service providers and disclosure of information
We do not sell or rent your personal information, or share it for cross-context behavioral advertising. We do not use advertising pixels or a separate third-party analytics platform on this site.
Cloudflare provides our website hosting, content delivery, audio and data storage, live video, email delivery, bot protection and security services. This includes Workers, R2, D1, Durable Objects, Stream, Email Service, Turnstile and Access for our staff dashboard. Cloudflare processes data needed to provide these services.
Turnstile checks browser and network signals to help distinguish visitors from bots. Cloudflare also processes certain information for its own security and service-improvement purposes. See Cloudflare’s Privacy Policy and its Turnstile Privacy Addendum.
For support checkout, including test previews, Stripe processes transaction, device and fraud-prevention information under its Privacy Policy. Relevant records may be shared with Stripe, banks and payment networks to process payments, investigate fraud, handle refunds or resolve disputes. Our payment terms explain contributions, refunds and disputes.
Authorized people who operate the show can access information needed to administer accounts, moderate chat and manage subscribers. We may disclose information when required by law or when reasonably necessary to protect people, investigate abuse, enforce our terms or defend legal rights. If the show or service changes ownership, information may transfer with it, subject to applicable law and appropriate notice.
Links to podcast apps, X and other websites take you to services with their own privacy practices. Cloudflare’s network and service providers may process information in the United States and other countries with different privacy laws; applicable contractual and legal safeguards govern those transfers.
5. How long we keep information
- Chat profiles: retained so your name remains available when you return, until you request deletion or we remove the account. Signing out does not delete a profile. We may retain limited restriction records to enforce moderation.
- Chat messages: normally retained for up to 24 hours, with hourly cleanup and a maximum of 500 recent messages. The public chat displays up to 100 recent messages. Moderators may remove messages sooner.
- Codes, sessions and moderation logs: verification codes expire after 10 minutes, sessions after 30 days, and routine moderation audit entries after about 90 days. Expired records are removed during scheduled cleanup.
- Newsletter records: kept while you are subscribed. We may retain a limited unsubscribe and consent record to respect your choice and document it. Unverified chat newsletter choices expire with the sign-in attempt.
- Payment records: kept as needed for accounting, applicable tax and legal obligations, fraud prevention, refunds and disputes. Stripe has its own retention practices for the information it processes.
- Podcast analytics: temporary download identifiers are normally removed after roughly three days; aggregate counts are retained for about two years.
Cleanup timing can vary. Backups and Cloudflare’s own operational logs have separate retention schedules. We may retain information longer when necessary to resolve a dispute, investigate abuse or meet a legal requirement. We cannot remove copies of public messages that others have saved.
6. Your choices and requests
You can change your display name or sign out from the chat controls. You can choose not to subscribe to the newsletter. When we begin sending newsletters, each will include an unsubscribe option; you can also contact us now to be removed from the list.
Contact ops@scanningpodcast.com to request access to, correction of, or deletion of your personal information, including your chat account. Depending on your location and applicable law, you may also have rights to a copy of your information, to restrict or object to processing, to withdraw consent, to appeal a decision, or to complain to a privacy regulator. We will handle requests as required by applicable law and may ask you to verify control of the relevant email address. Some information may be retained for legal or security reasons. We do not penalize you for exercising applicable privacy rights.
7. Security and children
We use encrypted connections, protected staff access, email verification and other reasonable safeguards. No online service can guarantee absolute security. Keep access to your email account secure and do not share your sign-in code.
The service is intended for a general audience and is not directed to children under 13. Children under 13 must not register for chat or subscribe to the newsletter. We do not knowingly collect their personal information. Contact us if you believe a child under 13 has provided information so we can investigate and remove it as appropriate.
8. Changes to this policy
We may update this policy as our services or legal obligations change. We will revise the date above and provide additional notice of material changes when required. The current policy will remain available here.
